BACKGROUND

Side events offer conference participants a platform to discuss the topics of the day, complementing the limited discussion time afforded during plenary sessions. These events are designed to foster informal dialogues among government representatives, civil society members, international organizations and other stakeholders.

GUIDELINES

Before proceeding with your side event booking, please ensure you thoroughly read and understand the terms and conditions outlined below:

1. Profile & Registration Requirement: To reserve a side event, participants must have an account on http://meetings.odihr.pl and be registered to attend the conference.
2. Booking Window: The booking period starts on Tuesday, 24 February at 13:00 (CET) and concludes on Wednesday, 25 February at 17:00 (CET).
3. Preliminary Booking: Upon accessing the system and selecting your date and time slot, you'll have a 60-minute window (from the moment of selection) to input the necessary details for your provisional booking. All mandatory fields in the booking form must be filled in. Incomplete forms will prevent the system from accepting and confirming your booking.
4. Language: All input should be in English.
5. Submitting your booking request: After entering all required information, please SUBMIT your slot reservation.
6. Making changes to your booking request: you may amend the information provided and the services requested until Tuesday, 6 March, at 17:00 (CET).
7. Cancellation fee: Should you wish to cancel a booking after this deadline, please contact hdmeetings@odihr.pl as soon as possible. Please note that cancellation after this deadline may result in cancellation fees.
8. Schedule announcement: Side events Schedule and Overview will be published on the website of the SHDM before the start of the conference.
9. Venue & arrangements: ODIHR is responsible for securing the venue and offers the rooms mentioned below at no cost. However, side event organizers are tasked with managing event logistics including, but not limited to, catering, technical setups like sound systems, interpretation facilities, etc. Organizers are also responsible for bearing the expenses related to these services as well as curating the content.
